| Absence Requests |
| The management of absences can be acheived using the Absence Manager. These sections can only be
accessed with the appropriate access privileges and they are located under
the Outworkers Menu. Please do not confuse the Absence Request form with the Absence form under 'My Menu'. The Absence Request form is only used only by management to raise holidays and absences for their staff. The Absence Manager allow flexible management of personnel absences. This is the form where management can approve holidays and absence requests. ![]() Please refer to standard tools to familiarise yourself with the form. Approving Requests: 1. To begin, select the schedule(s) you wish to view absence requests for at the top of the 'Absence Requests' form and then click 'Go'. 2. Under the 'Actioned' column you will be able to see requests that have been actioned (ticked) and the those that require action (Unticked). 3. To approve or disapprove a request, right-click on a record and choose the 'Edit Record' option. You will be presented with the following screen. 4. To approve the request simply click on the 'Actioned' check box or to disapprove an existing request uncheck this option. 5. Confirm the date of approval using the 'Date Actioned' drop-down menu. 6. Add a message to the notes text box if required. 7. Double check all the details before clicking 'Save' and you can see the changes in the table. To disapprove a request simply go into a record and untick the 'Actioned' check box and you will notice that the 'Delete' option is now available. Creating Absences for Staff: From time to time your staff may call in sick and the manager will need to create the absence. As with editing requests there are many ways in which you can create new absence requests. Method 1: 1. From the top of the 'absence request' form select a staff from the 'entity' drop-down menu. 2. Next click the 'Holiday Requests' button. 3. Start by specifying the from and to dates for the absence or holiday. 4. Specify the absence type using the drop-down list. 5. If you would like to approve the absence tick the 'actioned' box . 6. The 'by' will be automatically populated with your name. 7. Finally choose the 'on' to mark the date of the absence submission and click update. 8. You will see the new absence record added to your staffs request table. Method 1: Rather than raise an absence this method can be used to specify whether documentation to support the absence(s) are required and provides the ability for personnel to be recorded as taking half- days off. 1. From 'Absence Request' form load the schedule in which the staff belongs to. 2. From the table of requests right mouse click on an absence record and choose the 'Edit/Create Absence' option. 3. You will see details of the absence request with the option to change the from and to dates. 4. At the bottom of the window are the dates you requested for the absence. Right-Mouse click on a date or a selections of dates (Shift + Click on the required records) and choose 'Edit Selected Records'. 5. In the following screen fill in the details as required. It is from this area you can set half-day absences or request medical certificates from the employee etc... 5. Click 'Apply' to confirm the request and it will be automatically approved. |
