Live Schedule Tasks
This topic will cover how to create and edit tasks from the 'Live Schedule'. To begin, using the 'Clr' button clear any data currently populated in the following fields:

- Schedule(s)to include
- Company(s) to Include

These are located at the top of the form.

Creating a new task:

Step 1:
There are two ways in which you can initiate the new task window. You can use the
              'New Task' button under the Live Schedule Manager section or you can right-
              click on an existing task and choose 'Create a New Task'.

Step 2: In the Task Editor window, specify the Schedule and Company that the new
              task and personnel should belong to.



Please refer to standard tools to familiarise yourself with the form.

Step 3: Specify the start and the end dates for the task. For the task to
              be on-going, please specify the start date only or the rota would not be rolled over.

Step 4: The next step is to set the properties for the task under the 'Details Section'.
              Notice the tabs across the top. Go through each tab and enter the required
              details correctly except for the 'Template Duties/Shifts' tab.

Should you not wish to use a template and create shifts directly from the  weekly schedule, after Step 4 click 'Save', then click the 'Return to Task Editor'. Use Step 6 - 9 as a guide to configure the shifts from the weekly schedule.

Step 5: When you have finished, click 'Save'. You will notice that the Task Editor does
              not close. This is by design and if you click on the  'Template Duties/Shifts' tab
              now, it will be populated with dates. This is where you can set the shift time,
              assigned personnel, task status etc. and it will create a template which can then be
              applied to the main task.




Step 6: From the 'Template Duties/Shifts' tab, highlight the days required to schedule the
              task for and right-mouse click.
 
Step Step 7: To set the shift times, use the 'Change Shift' option and click 'Apply' when you have
              finished.

Step 8: We then need to assign a personnel to the task(s) and this is acheived either by
              using the 'Use Default Entity', or the 'Replace Entity' options when you right-
              mouse click on the dates. With the 'Use Default Entity'option, this will only work if
              you have set this in the details tab in Step 4. Using the 'Replace Entity' option will
              present you with a list of trained staff for the work location. Click 'Apply' once you
              have chosen  the relevant employee.

Step 9: Click 'Save' and a prompt will confirm that the template has been successfully
              saved.

Step 10: Click on the 'Return to Task Editor' link and you will be presented with a table
                of dates from the first week of the contract. Select all 7 days of the week.

Step 11: Right-click on the dates and select 'Replace From Template (All)' and you
                will notice the table of dates will be populated with data from the template. 

Editing existing tasks:

To edit an existing task right-click on the task and choose 'Edit Task' from the context menu. The following window will display:



The Edit Task window will display details of the tasks. In the top half of the window there are options to change the duration of the task.

Most of the editing functions can be accessed by right-clicking on a single or a set of tasks.




Change Status: Use this option to edit the status of the shift(s).
Change Shift: Use this option to edit the times of the shift(s).
Clear shift: User this option to clear the shift(s).
Replace Entity: Use this option to replace the personnel assigned to the shift(s).
Use Default Entity: Replaces the personnel with the default personnel.
