Preparations for Pay/Charge rates and Scheduling

This process will prepare you for setting up the charge/pay rates and scheduling for
your employees.

Please follow the process in order of how the content is presented unless instructed
otherwise.

Creating a new Schedule Group:

In 'eZworkforce' you can now group tasks together such as those that are on the same
contract or any criteria you may require by Schedule groups.

If the required schedule group is already on the system please proceed to 'How to
make staff available to schedules on the web portal account'.


1. From the Live Schedule in eZworkforce, click on the ‘Options’ button and then on
    ‘Schedules’.

 


2. In the ‘Schedules’ window click in the empty cell as instructed and enter the name
    for your new schedule group. Click to save and then close the window.

3. When fully configured the new schedule will be available in all the ‘Schedule’ drop
    down lists. By default all newly created schedules are disabled for all user accounts.





How to make staff available to schedules on web portal accounts:

1. From the web accounts form highlight the required account.

2. Click to edit the record.

3. Locate the ‘Allowed Schedules’ drop-down list and place a tick next to the new schedule.

4. Remember to save the record afterward.



Note: Please follow the above steps in order to access schedule groups on the web
            portal as this is separate to enabling schedule groups for ‘eZworkforce’.


Assigning staff to Schedules on the web portal:

1. From personnel manager load up a personnel record.

2. Click on the ‘Allowed Schedules’ drop down box and choose a new/existing schedule
    to assign the user to. Then click ok.



3. Having created the required schedule group(s) and assigning them with the correct
     staff , you are now ready to roster your staff using the Live Schedule or Schedule
    Request forms.

If you are required to schedule staffs on a weekly basis please go to Schedule Requests.

If you are required to set up charge and pay, for efficiency purposes you may wish to
follow the next few steps.

4. Under the details section of the personnel record click on the ‘work’ tab.



5. For pay you should populate the pay group, pay method and pay frequency fields.

6. For both pay and charge rates populate the rate group field.

7. Close the personnel record and move onto the next.

This will prepare you for setting up the charge and pay rates which may be your next task.
When the rates have been configured the staff records will pick up the correct rates.
